Regional Project Coordinator
The Regional Project Coordinator (RPC) serves as the operational hub of project delivery and is responsible for ensuring all projects and Time & Materials (T&M) engagements are executed efficiently, documented properly, communicated proactively, and aligned with North Atlantic regional standards.
The Regional Project Coordinator owns project administration, project communication, project documentation, and coordination activities throughout the project lifecycle. This role is responsible for maintaining accurate project records, coordinating resources, tracking actions and milestones, facilitating communication between stakeholders, and ensuring clients always know the status of their project.
In addition to supporting project-based work, the Regional Project Coordinator is responsible for coordinating and administering all client-facing T&M work requests that require project-level oversight, scheduling, communication, documentation, and reporting.
Regional Project Coordinators may manage smaller projects under established standards while partnering closely with Project Managers, Service Delivery leadership, and technical teams to ensure successful client outcomes.
The Regional Project Coordinator also provides day-to-day leadership for a team of up to six Project Technicians, aligning assignments, priorities, communication, and execution with project requirements and regional standards. The role supports technician development and accountability while escalating formal employee-relations or disciplinary matters to the appropriate leader.
Key Responsibilities
Project Administration & Coordination
· Maintain project documentation, artifacts, schedules, and systems of record in accordance with the North Atlantic regional standards.
· Ensure all project artifacts are stored appropriately within SharePoint and other approved repositories.
· Coordinate project schedules, meetings, resources, dependencies, and deliverables.
· Track project tasks, risks, issues, milestones, and action items while driving accountability from assigned owners.
· Support project kickoff preparation, onboarding activities, project transitions, and project closeout procedures.
· Facilitate internal coordination between project resources, service teams, account managers, and leadership.
T&M Work Ownership & Coordination
· Own the coordination and administration of all Time & Materials (T&M) engagements assigned to the project office.
· Serve as the central point of contact for T&M work from intake through completion.
· Coordinate scheduling of resources required to execute T&M work.
· Ensure T&M work is properly documented, approved, communicated, and tracked.
· Maintain visibility into T&M progress, client expectations, and completion timelines.
· Verify all required approvals, documentation, and billing readiness requirements are satisfied.
· Escalate scheduling conflicts, scope concerns, resource constraints, or delivery risks as appropriate.
Project Communication Ownership
The Regional Project Coordinator owns all project communication. This includes responsibility for:
· Coordinating communication between clients, project resources, leadership, and stakeholders (Internal and external).
· Preparing and distributing project status reports.
· Scheduling and facilitating recurring project communication cadences.
· Publishing meeting notes, action items, decisions, and follow-up tasks.
· Maintaining communication timelines and ensuring updates are delivered when promised.
· Proactively identifying communication gaps and driving resolution.
· Ensuring clients have consistent visibility into project status, milestones, risks, timelines, and next steps.
· Supporting executive-level project reporting and stakeholder communications.
Success in this role requires exceptional communication discipline and responsiveness. The Regional Project Coordinator is expected to establish trust through timely, accurate, and proactive communication.
Project Technician Leadership
· Provide day-to-day leadership, work direction, and coordination for up to six Project Technicians assigned to project and T&M engagements.
· Translate project plans and client commitments into clear technician assignments, priorities, deadlines, and expected outcomes.
· Balance technician workloads and coordinate schedules with Project Managers, Service Delivery leadership, and other resource owners.
· Conduct regular team check-ins to review progress, remove obstacles, reinforce priorities, and maintain alignment across active work.
· Monitor execution against scope, quality, documentation, time-entry, communication, and completion standards; address gaps promptly and escalate recurring concerns.
· Coach technicians on project discipline, client communication, documentation quality, ownership, and professional growth.
· Promote a collaborative, accountable, and client-focused team culture while recognizing strong performance and reinforcing regional standards.
· Support onboarding and knowledge transfer for new Project Technicians and identify training or development needs.
· Ensure technicians understand escalation paths and raise technical, scheduling, scope, client-impact, or resource risks early.
· Provide fact-based input to the appropriate manager regarding technician capacity, performance trends, development needs, and readiness for increased responsibility.
Financial & Operational Support
· Support project setup activities and verify all required documentation has been received and approved.
· Confirm project readiness requirements have been completed prior to project execution.
· Monitor project administrative health, including documentation, approvals, and billing readiness.
· Track time entry compliance, expenses, and administrative financial requirements.
· Support change request administration and ensure written client approval is obtained prior to execution.
· Assist in maintaining project profitability through effective coordination and operational discipline.
Process Excellence & Continuous Improvement
· Follow established project management standards, templates, and governance practices.
· Drive consistency across project administration processes.
· Identify process inefficiencies and recommend improvements.
· Support adoption of standard operating procedures, tools, and workflows.
· Contribute to ongoing project management maturity initiatives across MySherpa.
Required Qualifications
· Associate's or Bachelor's degree in Business, Information Technology, Project Management, or related field, or equivalent experience.
· 3-6 years of experience in project coordination, project administration, operations support, or service delivery.
· Strong organizational and time management skills.
· High attention to detail and process discipline.
· Excellent written and verbal communication skills.
· Strong customer service mindset.
· Experience with Microsoft 365 applications including Teams, SharePoint, Planner, Outlook, and Excel.
· Ability to manage multiple projects, workstreams, and competing priorities simultaneously.
· Experience leading, coordinating, mentoring, or providing work direction to technical staff; ability to lead a team of up to six Project Technicians.
Preferred Qualifications
· Experience working within an MSP or IT services organization.
· Experience using ConnectWise PSA or similar professional services automation tools.
· Familiarity with project management methodologies and best practices.
· CAPM certification or demonstrated interest in pursuing professional project management credentials.
